What OnyxBot stores, and for how long

Getting Started

OnyxBot stores a ticket record for every ticket opened in your server, the message content of those tickets if you leave transcript storage on, the knowledge sources you connect, and one record per AI answer covering question, answer, model, tokens and cost. On Pro, OnyxBot also stores short member memory facts. OnyxBot ignores messages in channels you have not added as support channels, and stores no DMs, no voice, and no card numbers. Ticket message content is kept 30 days on Free and has no expiry on Pro.

What does OnyxBot store?

  • Ticket records. Category, ticket number, who opened it, who claimed and closed it, open and close times, the intake form answers, and the AI summary. It survives transcript storage being off, because your open-ticket limit and stats count it.
  • Ticket messages, when transcript storage is on: author, display name, avatar, and message text. For attachments OnyxBot stores the Discord file link, filename, and content type, never a copy of the file.
  • Knowledge sources. The pages and files you add on AI, then Knowledge, chunked, plus the search vectors built from them.
  • One record per AI answer: the question, answer, model, input and output tokens, and cost. Your dashboard usage stats are built from these.
  • Member memory facts on Pro: short one-liners like "uses the ESX framework", capped at 15 active per member.

What does OnyxBot not store?

  • Nothing from channels you did not add. Messages outside your support channels and ticket surfaces are dropped before anything is stored.
  • No DMs and no voice. OnyxBot connects with three Discord intents: Guilds, Guild Messages, and Message Content. No DM intent, no voice intent.
  • No card numbers. Stripe processes payment. Card details are never stored in OnyxBot's database.

How long is it kept?

  • Free servers: a daily job deletes ticket message content older than 30 days. The ticket record stays.
  • Pro servers: that job only selects free servers, so transcripts have no expiry.
  • Memory facts: facts badged Temporary stop being used 30 days after they were saved. The same daily job deletes any fact, Temporary or Durable, 180 days after it was saved.

How do you delete what OnyxBot stored?

  1. Stop storing transcripts. On Tickets, then Settings, set Transcript retention to Don't store (fully private). From then on nothing is saved: no transcript page, no DM copy on close, and OnyxBot stops learning from resolved tickets. Messages already stored stay.
  2. Delete one fact, or a whole member. On AI, then Memory, use the trash button beside a fact, or Forget this member.
  3. Turn member memory off. Use the switch in the Member Memory header, or exclude specific members and roles.
  4. Delete a knowledge source. On AI, then Knowledge, open the row's menu and choose Delete. Its indexed chunks go with it, and uploaded files are removed from storage.
  5. Delete everything for a server. On AI, then Configuration, scroll to Remove server. Cancel any active subscription for that server first, because removal is blocked while one is live.
